Sometimes you need to ask people directly for their consent: when you first set up your consent questions, when you add a new one, or when you want a fresh, unambiguous record. Hubb comes with a ready-made consent mailing and special links that let people answer without even logging in. This guide walks through it.
Asking for consent by email
Read this before you ask
Word your questions carefully. If you ask for blanket consent to hold someone’s data and they say no, you’re committing to deleting their data completely, everywhere, not just in Hubb. For most churches, legitimate interest covers ordinary member records, so consider separate consent questions for specific things (communications, a holiday club) rather than one all-or-nothing question.
-
Personalise the ready-made template. Go to the Mailing area, open ‘Edit templates’ and click the GDPR Consent Template. Double-click the holding logo, click ‘Browse’, and choose or upload your church’s logo (around 60 pixels high works well).
-
Choose who to ask. Select your top-level group to ask everyone, pick a specific group, or use the Query tool to select exactly the right people and choose ‘Tasks’, then ‘Mailing & Consent’, then ‘Send a mailing’ from the results.
-
Create the mailing, pick a suitable mailing channel, and check the recipient list.
-
On the writing step, choose GDPR Consent Template from the template list, adapt the wording to your church, and send yourself a test before it goes anywhere else.
-
Send or schedule it as with any mailing. When someone clicks the update-consent button, they land straight on their consent and subscriptions page, no login needed, and their answers appear on their record immediately.
Good to know
-
The no-login consent links are built into the mailing wizard: when adding a link, choose ‘System Page’ and you’ll find them at the bottom of the list, or use the mail merge buttons to insert them as fields that become working links when the mail is sent.
-
Doing a wholesale consent refresh? After the mailing goes out, clear the old ticked consents in bulk so only fresh answers count from then on; the Set Consent task in how to see and manage people’s consent does exactly that, with a permanent audit trail.
-
If your website uses a profile editor module (a newsletter sign-up box, for example), it has its own consent settings inside the module; raise a support ticket if you’d like a hand checking yours.
