Once your consent questions are live, the answers flow into each person’s record, and the system keeps the receipts: who agreed to what, when, and who recorded it. Here’s where to find it all, and how to manage consent in bulk.
Seeing and managing consent
-
Open any person’s record in the web office and select the Consent tab. You’ll see their answer to each consent question and their mailing preferences, along with who recorded the consent, when, and any admin comments; each question also has a full history you can view.
-
People manage their own answers under My Area > My Involvement > My Consent and Mailing Preferences, and anything they change there is reflected in what you see in the web office.
-
To find people by consent, the Query tool has criteria for each question: ‘Consent Values’ finds people who have (or haven’t) ticked a question, and ‘Date Consent Set’ finds people who answered within a certain period.
-
To set consent in bulk, run a query for the right people, then use Tasks > Mailing & Consent > Set Consent on the results. This is how you transfer consent gathered on paper forms into the database, or clear a question for everyone when you want to seek fresh consent. Add an admin comment saying where the consent came from; the change is recorded permanently in each person’s consent history, with you named as the person who set it.
Good to know
-
The address book works on the same opt-in principle: people appear only if they’ve ticked the boxes to show their details, either at registration or later on their My Profile page.
-
Setting up the questions and channels themselves is covered in how to set up consent questions and mailing channels.
-
If someone withdraws consent for you to hold their data at all, that’s a different job: see how to delete someone’s data.
-
The consent history is your audit trail. If anyone ever asks “when did I agree to this?”, the answer is on their record, dated and attributed.
