You can send mailings from your church’s own email address, so your emails arrive from you rather than from us. The one piece of setup that matters is an SPF record: a small entry in your domain’s DNS settings that tells email providers our server is allowed to send on your behalf. This guide walks you through it.

Without an SPF record, expect a lot of your emails to bounce: providers can’t verify that your domain gave our server permission, so they turn the mail away. Add the record before you send anything from your own address, and if you’re unsure whether yours is in place, raise a support ticket and we’ll check it with you.

Use an address on a domain your church controls, such as office@yourchurch.org.uk. Free addresses like Gmail or Hotmail can’t be verified this way, because you can’t edit their DNS settings (see ‘Good to know’ for what to do instead).

Log into your domain provider’s control panel and add a TXT record to your DNS settings. If you don’t already have SPF guidance from your provider, this entry is usually all you need: v=spf1 mx a:smtpweb.uk.endis.com ~all

If your church email runs on Google, use v=spf1 a:smtpweb.uk.endis.com include:_spf.google.com ~all instead. If it runs on Outlook or Microsoft 365, use v=spf1 a:smtpweb.uk.endis.com include:spf.protection.outlook.com ~all. And if your mailboxes are on our own email hosting, your record needs to cover its sending servers too; raise a support ticket and we’ll give you the exact record for your setup.

Once the record’s in place, use your address as the ‘From’ address when you send a mailing. If you’d like us to double-check the record before your first big send, just ask.
Good to know

A domain should only ever have one SPF record; a second one makes them both invalid. If you already have one (for your church’s own email, say), add our server to it rather than creating another.

Replies don’t come back to the web office. They land in the normal inbox for that address, on your computer, phone or webmail, just as usual.

No domain address? Set your own address as the ‘Reply to’ and use noreply@hubb.digital as the ‘From’. Your emails will deliver reliably, and replies still reach you.

We keep the server name in these records pointing at whichever of our servers sends mail, so once it’s set up you shouldn’t need to touch it again.
