How to manage bad email addresses

When an email bounces back too often, Hubb marks that address as bad and stops sending to it, which protects your church’s reputation with email providers. Those people gather in one place so you can sort them out, and this guide shows you how.

Read this before you remove anyone

The ‘Remove’ option takes the person out of the groups you choose, and if that leaves them in no groups at all, they’re removed from your site completely. Try ‘Contact’ or ‘Validate’ first, and only remove someone when you’re sure you no longer need their record.

  1. In the Mailing area of the web office, open Manage Bad Emails. Everyone whose email address has been marked as bad is listed here.
  2. For each person, pick the right way forward. ‘Contact’ sends them a mailing by a method that still works, such as post (it’s unavailable if they have no valid contact details). ‘Validate’ sends one final email asking them to confirm their address by clicking a link (unavailable if they’ve already had one).
  3. Once someone validates their address, Hubb starts emailing them again.

Good to know

  • An address is only marked bad after three bounces spread over more than ten days, so a full inbox during a fortnight’s holiday doesn’t get anyone cut off.
  • This isn’t Hubb being fussy: repeatedly emailing addresses that bounce raises your spam score with email providers, which can hurt delivery to everyone else.
  • A mailing shows as successful when it’s sent, then changes to unsuccessful if it bounces, so it’s worth checking a person’s mail history if they say your emails aren’t arriving.
