How to create a mailing template

A mailing template is your reusable stationery: your logo, layout and footer, ready to go every time you write. You set it up once, then each mailing only needs its message. This guide shows you how to create one.

Creating a mailing template

  1. In the Mailing area of the web office, click ‘Edit templates’. You’ll see a list of the templates already on your site.
  2. Click the blue ‘+’ button and choose the type of template. An HTML template lets you use images, colours, fonts and columns, and it’s what most churches want. A plain text template sends words only, with no formatting or images.
  3. Build the template using the editor. Keep it to the parts you’ll reuse every time (logo, layout, footer) and leave the message itself out; you’ll write that when you send each mailing.
  4. Give the template a name so you can spot it in the list.
  5. Choose who it’s available to. Administrators with the mail permission on the group you pick will be able to use it.
  6. Click ‘Save’. Your template now appears in the template list when you send a mailing.

Good to know

  • Your site already comes with ready-made templates, including a standard template and a two-column newsletter template, so you don’t have to start from scratch.
  • Only HTML templates support click tracking, so if you want to measure how a mailing performs, build an HTML one.
