Roles change, volunteers move on, and sometimes a permission was just ticked in the wrong place. Changing or removing someone’s permissions works the same way as granting them, in the same screens, so this is a short guide. The one thing that catches people out is inherited permissions, covered below.
Changing or removing permissions
-
Go to the place the permission was granted. For Site Manager permissions, select the group in the group tree, click the settings cog at the top right, and open the Permissions tab. For Site Settings or Resources permissions, go to those areas instead.
-
Find the person’s name in the list.
-
Untick the permissions you want to remove, or tick new ones. For Site Manager permissions, use the dropdown at the top left to work through the other permission sets if needed.
-
Click ‘Save’, and save each permission set before moving to the next.
If a permission won’t untick
A permission you can’t remove was granted higher up the group tree and inherited by the group you’re looking at. Permissions can only be removed at the group where they were originally granted, so work your way up the tree to find it. If you’re not sure where that was, open the person’s record and look at their permissions tab, which shows where each permission was granted.
Good to know
-
Once someone has no permissions on a group, it disappears from their view of the web office. Removing everything effectively signs them off from helping, with nothing else to tidy.
-
When a volunteer hands over to someone new, remove the old person’s permissions and grant the same set to their replacement on the same group. If they’re leaving your church system entirely, you can also turn off their login access on their profile.
-
Permissions removed in error are easy to put back: see How to give someone Site Manager permissions.
