Site Manager permissions are how you let someone edit web pages, manage member data, run rotas and mailings, or look after online payments, on just the part of your site they help with. This guide walks through granting them on a group.
Granting Site Manager permissions
Check the group before you grant
Permissions apply to the group you grant them on and everything beneath it, so granting on your top group hands someone access across your whole site. The ‘Member Info’ set in particular opens up people’s personal data, and sensitive group notes are exactly what they sound like. Grant on the specific group the person helps with, and only tick what they genuinely need.
-
Log in to your web office and, in the group tree on the left, select the group you want the person to help with. Remember their permissions will also cover every group beneath it.
-
Click the settings cog at the top right of the group’s page, then open the Permissions tab.
-
Click the blue ‘+’ icon at the bottom right to open the user picker.
-
Select the group the person belongs to, click their name, then click ‘Select Records’. If you can’t find them, select your contact database at the top of the tree on the left and search your whole database from there.
-
You’ll start on the ‘Site Content’ permission set, which covers editing the website itself: articles, images, events, the group structure. Tick the permissions you want to give. If you’re not sure what one does, click the ‘Info’ icon under its title.
-
Click ‘Save’. You must save each permission set before moving to the next one.
-
Use the dropdown at the top left of the permissions area to work through the other sets as needed: ‘Member Info’ for access to members’ data, ‘Church Administration’ for rotas, mailing and attendance, and ‘Payment Groups’ for taking money online. Tick what’s needed and click ‘Save’ on each.
Good to know
-
You can only grant permissions you already hold on that group, so a group leader can pass their own access on to their team, but nothing more.
-
If a ticked permission can’t be unticked, it was granted higher up the group tree and inherited. To remove it, go to the group where it was originally granted.
-
Not every permission appears on every group. Some folder types only offer the sets that make sense for them, so don’t worry if the list looks shorter than expected.
