Your website can give members a members-only address book, so people in your church can find each other’s contact details. Each person decides what’s shown about them, and your admins can print a fuller Office Use Only version for church use.
Who appears, and what’s shown
-
Each person’s own privacy settings decide what the address book shows about them: all their details, just their phone and email, or nothing.
-
People appear only if they’ve opted in, by ticking the boxes to show their details when they register, or later on their My Profile page in My Area. Anyone who hasn’t simply doesn’t appear.
-
Your church’s address book policy is set in Site Settings > Users > Address Book.
Printing the Office Use Only address book
In the web office, open the Members tab and print the Office Use Only address book from the Export task. Two colours to look out for:
-
Entries in red are not for distribution: they’re for admin use only.
-
Entries in grey don’t have a membership status of current, so don’t share those either.
Good to know
-
Privacy settings control the address book on your website, not what your admins see. Anyone with membership permissions in the web office can see people’s details whatever their privacy settings; see Site Manager permissions explained.
-
People marked as deceased are left out of the address book automatically; see how to delete someone’s data for how to mark someone as deceased.
-
Keep sensitive details, such as emergency contacts, in a custom field marked as sensitive, so only admins with the Sensitive Fields permission can see them. An ordinary custom field isn’t protected in the same way.
-
How people’s consent and privacy choices fit together is covered in how to see and manage people’s consent.
