Not everyone has email, and the mailing wizard is built for that: from the same list of recipients it can produce printed address labels for post and a phone list for calls, so nobody misses out. This guide shows you how.
Printing address labels and phone lists
-
Start a mailing as normal and choose the groups you want to reach.
-
On the recipients step, each person is matched to the way they prefer to be contacted: email, post or telephone. People set for post will get an address label; people set for telephone go on a call list. You can override the method for anyone, or untick them entirely.
-
Carry on through the wizard. If anyone’s receiving an email, write and send it as usual; if not, you’ll move straight on.
-
On the export step, choose one label per family or one per person, then download the labels as a print-ready PDF (sized for standard Avery label sheets) or as a CSV to use elsewhere, such as a mail merge in Word. The phone list can be viewed on screen or downloaded as a PDF or CSV, with home, mobile and work numbers.
Good to know
-
The one-per-family option isn’t available when mailing more than 500 people. If you need it for a bigger list, use a query to split the list into batches of under 500 (surnames A to F, then G to M, and so on) and run each batch separately.
-
Addresses and phone numbers come from people’s own profiles, so encouraging members to keep their details up to date saves you chasing corrections.
