Every mailing you save is kept in the Mailing area, so you can re-read what went out, check whether it reached everyone, and reuse it as the starting point for your next one. This guide shows you where they live.
Finding a mailing you’ve sent
-
Open the Mailing area of the web office.
-
On the left, look for Sent Items. Your own mailings are in your personal sent items, and mailings saved to a group live in that group’s folder. Site administrators also see a System Sent Items folder, which holds the automatic emails your site sends, such as welcome emails and rota reminders.
-
Click a folder to list its mailings, then click a mailing to open it and read exactly what was sent, and to whom.
-
To check delivery, open the mailing’s queue status. It shows any failures, and you can click a failure to see why it didn’t arrive.
Good to know
-
A saved mailing is a great starting point: you can forward the same message to a new list of people, or send a new message to the same list, from the options on the mailing itself.
-
Where a mailing is saved matters. Save to a group’s folder and anyone with the mailing permission on that group can see and reuse it; save only to your personal sent items and it’s just you.
-
Want a guaranteed record of everything sent to a list, whoever sent it? Add one of your own email addresses to the group as an extra member. Every mailing to the list lands on that record, so its mail tab becomes a complete archive even when someone forgets to save.
-
Checking on one person rather than one mailing? See how to check which emails someone has been sent.
