How to manage who's in each group

Group membership is what makes the rest of Hubb work: it decides who sees members-only content, who a mailing goes to, who appears on a rota list and what your reports say. This guide covers the ways in and out of a group, and the one rule that surprises everyone.

Managing a group’s membership

  1. Log in to your web office, select the group and open its Members tab.
  2. To add people, click the blue ‘+’ icon at the bottom right, select the people in the user record browser (they appear on the right as selected), and click ‘Select Records’.
  3. To remove someone, open the options menu (three dots) next to their name, choose ‘Remove’ and confirm. They leave the group but stay in your database.
  4. To mark someone as a leader of the group, use the arrow icon to the right of their name; leaders can be filtered in mailings, used in queries, and appear in the group leaders report.

Managing one person across many groups

  1. Open the person’s record (the quick find is the fastest way) and select their Involvement tab. Their group memberships are shown against the group structure.
  2. Click the green ‘Edit’ button at the top right, tick the groups they should be in and untick the ones they shouldn’t, then save. Much quicker than visiting each group in turn.

Good to know

  • The membership golden rule: adding someone to a group automatically adds them to its parent group, and its parent, all the way up the tree. So when setting up, add people to the lowest groups first and the rest takes care of itself. It also means removing someone from a parent group isn’t enough on its own if they’re still in one of its children.
  • Members can request their own memberships through ‘My Membership’ under the my area menu; applications wait for approval unless the group auto-approves, and people can’t remove themselves from groups.
  • If the Members tab is disabled, you either haven’t selected a user group or you don’t have the Membership Manager permission there; the Permissions guides cover how it’s granted.
  • For bulk changes, such as adding everyone from one group to another, the Query tool can grant or revoke memberships from a query result.
