How to add someone to your database

Everything in Hubb that involves people, from rotas to mailings to members-only pages, starts with getting them into your database. Adding one person takes about a minute, and you only need their name and email; they can fill in the rest themselves.

Adding a person

  1. Log in to your web office, go to the top group and open the Members tab.
  2. Open ‘Tasks’ and choose ‘Create a New User’, or hover over the ‘+’ icon at the bottom right and click ‘Add New User’. Either opens the create user wizard.
  3. Enter their title, first name and surname, then click ‘Next’.
  4. Address details are optional at this stage, so you can scroll down and click ‘Next’ and let the person add their own later.
  5. Set their account to have login access if they should be able to sign in, and add their email address. You can record gender and age category too, and tick the consent boxes with an admin note confirming you have their permission to hold their data; do make sure you actually have it.
  6. Scroll to the end and click ‘Next’ to review what you’ve entered. If you enabled login access, you’ll see the notice that a login name and a link to set a password will be emailed to them.
  7. Click ‘Finish’, and the person appears in your member database.

Good to know

  • Adding people one by one is only one of three routes: people can also register themselves on your website, and a whole existing database can be imported in one go.
  • If someone in the database doesn’t have login access yet, it can be enabled later; you don’t have to get it right at creation.
  • Once someone’s in the database, add them to the groups they belong to; that’s what makes rotas, mailings and members-only content work for them.
