How to get form responses emailed to you

Rather than checking the web office for new form responses, you can have them emailed to the right person automatically. It’s set up once per form and then just works.

Setting up the notification

  1. Log in to your web office and go to the dashboard view of the group that holds the form. The Jobs panel is the last one on the dashboard.
  2. Click ‘Create/edit notifications for this group’.
  3. Click ‘Create notification’.
  4. Set the task to ‘Document Form Response’, select the form it applies to, and choose to send an email.
  5. Choose who should receive the notification. Anyone in your database can be picked; if the person isn’t a member of this group, navigate to the root group to find them.
  6. Click ‘OK’, then ‘Save’. The next time the form is submitted, that person gets an email.

Good to know

  • The email is a copy, not the only record. Every response is still saved in the web office, so nothing is lost if an email goes astray.
  • The same process sets up notifications for applications to join the site. Choose ‘Group Application’ as the task instead; for those, the recipient needs web office permissions so they can process the application.
  • Submit a test response after setting up, so you know the email lands where you expect.
