How to view and manage form responses

Every response submitted through a form on your site is saved in the web office. This guide covers spotting new responses, reviewing them, and exporting or clearing them when you’re done.

Deleting responses is permanent. Hubb asks you to confirm and tells you it can’t be undone, because it can’t: there’s no recycle bin for form responses. Export anything you still need first.

Responses often hold names, contact details and other personal information, so if you do export them, give a thought to where that spreadsheet ends up.

  1. When a form has a new response, an alert symbol appears next to its group’s name in the site manager, so you don’t need to go hunting.
  2. Select that group and open the Documents tab. An icon next to the form’s title shows the number of responses: red means some are new, orange means they’ve all been dealt with.
  3. Open the article and select the Responses tab.
  4. Review each response and set its status from the dropdown beside it, so anyone else with access can see what’s been handled. Click ‘Save’ when you’re done; that button commits your status changes and nothing else.
  5. To give several responses the same status in one go, tick them instead. A bulk action bar appears, where ‘Set status to’ and then ‘Apply’ updates all the ticked ones together.
  6. To export the responses, click ‘Tasks’ near the top right and choose the format you want.
  7. To delete responses, tick the ones you want to remove, then click the red ‘Delete Selected’ button in the bulk action bar and confirm when Hubb asks.

Good to know

  • Responses stay in the web office until someone deletes them, so nothing disappears on its own.
  • If you’d rather not keep checking the web office, you can have new responses emailed to someone automatically.
  • Form responses can contain people’s personal details, so it’s worth reviewing who has web office access to that group.
