The Bank Deposits tab is where Hubb’s records meet your actual bank statement. The Online side shows the money arriving from your Hubb Processing account, and the Offline side lets you batch up the cash and cheques you pay in yourself, so every line on the statement can be traced back to the gifts inside it.
Recording an offline deposit
-
The quick way: after a keyed or CSV import, use the ‘Use this to make an offline deposit’ option shown against the import in the Payment Import tab. That creates a deposit containing all of the import’s payments; to change what’s included, open it and choose ‘Tasks’, then ‘Edit’.
-
Or build one by hand: on the Bank Deposits tab choose ‘Tasks’, then ‘Create a new Offline Deposit’, give it a name (and remarks if they’ll help you spot it later), then use the filters to find payments and tick the ones to include. Click ‘Save’.
-
The deposit stays ‘Open’ until you actually take the money to the bank. When you do (or are just about to), open the deposit and choose ‘Tasks’, then ‘Mark as posted’.
Good to know
-
On the Online side, the pending balance is money taken but not yet scheduled for payout, and each payout is a batch of transactions on its way to (or arrived in) your bank; the magnifying glass shows exactly which transactions a batch contains.
-
The pay-off comes at reconciliation time: when one total appears on your bank statement, the matching deposit tells you exactly which cheques and cash made it up.
-
Deposits are built from imported payments, so get the giving in first; see how to key in cash and cheque giving and how to import giving from your bank statement.
