How to make a Gift Aid claim

With your giving recorded in Hubb, you can claim Gift Aid directly from HMRC through your web office: no spreadsheets, no re-typing. Hubb gathers the eligible donations, you review the list, and the claim goes straight in. This guide walks through a claim from start to finish.

Making a Gift Aid claim

Read this before you submit

A claim goes directly to HMRC, and your church is responsible for its accuracy, so review the list of donations before submitting and only include gifts you’re entitled to claim on. Every line needs a valid Gift Aid declaration and address; the missing-information tool below finds the ones that don’t.

  1. First, link your HMRC account: go to Site Settings, then Finance, then HMRC Submission, and add your HMRC details.
  2. In the Finance area, open the Gift Aid Claims page and choose ‘Tasks’, then ‘Make a new claim’. You can only start a new claim when no other claim is sitting in editing status.
  3. Fill in the claim details: a title and description, plus, if they apply, an amount for the Gift Aid Small Donations Scheme (GASDS), amounts for past years, or an adjustment if you’ve over-claimed before, and any notes that keep your records straight.
  4. Review the table of eligible donations below the details. Everything is ticked for inclusion by default; untick any line you don’t want in this claim.
  5. Click the green ‘Submit to HMRC’ button at the top, read and agree to the statements, then click ‘Submit Claim’.
  6. Watch the status: the claim shows as ‘Pending Submission’, moves to ‘Awaiting HMRC response’ after a couple of minutes, and finishes as ‘Submitted successfully’ once HMRC has processed it.

Good to know

  • You can claim as often as suits your cash flow. Many churches claim monthly rather than once a year, so the Gift Aid arrives as a steady part of the budget instead of one annual lump.
  • For online gifts, you claim on the full amount the donor gave. The card transaction charge comes off before the money reaches your bank, but it’s an admin cost in your accounts, not a reduction of the gift.
  • The ‘Manage payments with missing information’ task shows donations you could claim on if a detail were fixed. Click a person’s name to add a missing address on their record, or the donation link to add a Gift Aid declaration on the registration’s Gift Aid tab; fixed lines join your next claim automatically.
  • If a claim runs into trouble, open it with the pencil icon and use ‘View HMRC Transmissions’, which holds the details HMRC will ask for when you contact them.

  • Whether a gift qualifies for Gift Aid is set by HMRC’s rules, and staying within them is your church’s responsibility; HMRC’s own guidance for charities is the reference if you’re unsure.
