How to set up tickets, options and limits

The Delegate choices tab is where you build what people are actually booking: tickets, meal options, seminars, extras. It’s also where both kinds of limit live, how many of each thing can be booked, and who’s old (or young) enough to book it.

Building your options

1. Open the payment group’s settings and go to the Delegate choices tab. Everything is organised as options containing choices: an option called Tickets might contain an adult ticket and a crèche ticket; an option called Lunch might offer hot or cold.
2. Each choice has a state: unselected by default, selected by default, mandatory, disabled, hidden, or admins only. Admins-only choices are handy for things like staff places you don’t want the public booking.
3. If a choice affects the price, tick that and set the pricing below: a fixed amount (an adult ticket at £35), or variable, which is what donation amounts use. Each priced choice also picks which payment plan collects the money.
4. Choices can carry extras: a sub-option (would you like the £5 prayer diary with that ticket?), an extra description to explain it, and a group that the person is automatically added to when they pick it, which quietly keeps your involvement records up to date.
5. Now the limits. Each choice can have a quantity limit, the number of people who can book it, perfect for a venue’s seat count or a safeguarding ratio in a children’s group; once it’s full, it’s full. Each choice can also have minimum and maximum age limits, and Hubb only offers a delegate the choices their age allows. If the payment group has a linked event, ages are calculated at the date of the event; if not, at the time of booking.
6. Finally, set how many choices a person must pick within each option. Between one and one gives radio buttons with a compulsory pick; allowing more than one gives tick boxes; starting from zero makes the whole option optional.

Good to know

• From the booker’s side it all flows: intro text, add yourself, pick your choices, add family members, checkout, any discount code, pay. Saved cards mean members finish in seconds.
• Options and choices are flexible enough that the best way to learn them is a test payment group and half an hour of playing; once you’ve built one you like, copy the group for next time.
