How to record attendance

Whether it’s a Sunday service, a midweek group or a youth club, recording who was there takes a couple of minutes and builds a picture your leaders will thank you for. Attendance is recorded per group, against the events in your calendar.

Recording who attended

  1. Log in to your web office and select the group you want to record attendance for.
  2. Click the Attendance tab. Events in this group for the current month are listed; you can change the dates to show a different period, or use the add event button to bring in any event already on your site.
  3. Find the event and click the ‘record now’ link in the attendance column.
  4. Everyone in the group is listed: mark each person ‘present’ or ‘absent’.
  5. You can add a comment against a person, a reason for absence, say, and view their comment history; or use the select notes task to apply notes you’ve created before, which keeps recording consistent week to week.
  6. Press ‘Save’.

Good to know

  • The register is simply the group’s membership, so if someone’s missing from the list, add them to the group and they’ll appear; see managing who’s in each group.
  • Attendance can also record itself: with check-in, people mark themselves present at a kiosk or a leader ticks a register on their phone, and the records here fill in automatically. Start with what is check-in and when should you use it?
  • Recording attendance needs the Attendance permission, granted per group under the Church Administration permission set; the Permissions guides explain how to give it to your group leaders.
  • Recording little and often beats reconstructing a month later: the register is most accurate the same day, and the comment history only helps if it’s actually kept.
