How to upload document files like PDFs

Some documents want to stay as files rather than become web pages: a Gift Aid form to print and sign, a policy PDF, a set of study notes. Hubb calls these document files, and they upload the same way as images.

Uploading a document file

  1. Log in to your web office and select the group the file belongs to, such as the giving group for a Gift Aid form.
  2. Open the Media tab, then click the upload area (or drag the file into the middle of the screen). PDFs, Word documents, Excel spreadsheets, PowerPoint presentations, CSV files and ZIP files are all supported.
  3. Once it’s uploaded, give the file a clear title.
  4. To give people access to it, link to it from a page: create a link in the article and choose the uploaded document file option when selecting what to link to.
  5. Test the link on the front of your site: click it as a visitor would and check the right file opens.

Good to know

  • If a file type isn’t supported, put it inside a ZIP file and upload that for people to download.
  • If the Media tab isn’t showing on a group, you need the documents and media permission there; the Permissions guides explain how it’s granted.
  • Document files follow the group’s visibility settings, so members-only resources stay members-only.
  • A page can also list a group’s latest documents automatically, which saves re-linking every new upload; our guide on showing media on a page covers it.
