A church calendar carries two kinds of event: the ones you want the whole world to see, and the ones that only matter to a team or group. Getting visibility right keeps your public calendar welcoming and everyone’s personal calendar relevant.
Setting who can see an event
Check before you widen access
Visibility changes take effect on your live calendar as soon as you save. If an event includes anything meant for members, such as a home address or a team-only briefing, check the setting before saving rather than after.
-
Log in to your web office, select the group that holds the event, open the Events tab and click the event.
-
Scroll to the Advanced area at the bottom of the event’s details.
-
By default the event inherits its group’s visibility setting, which is right for most events. To check what that is, open the group’s settings and look at the Access area.
-
To give this event its own setting, tick the override box and pick from the three options: visible to the public, logged-in members of your top group, or logged-in members of this group.
-
Save, then check the calendar while logged out to confirm it behaves as expected.
Good to know
-
Visibility works the same way across documents, media, events and rotas, so once you understand it here you understand it everywhere. The Permissions guides cover the wider picture.
-
Putting events in the right group and restricting them sensibly keeps members’ calendars personal: a home group’s meetings don’t need to clutter the calendar of the whole church.

If someone says an event has ‘disappeared’, visibility is the first thing to check; our guide Why isn’t my event showing? walks through the usual causes.
