An Introduction to Permissions

Permissions let you get other people helping with your Hubb site while keeping everything else safely out of reach. This guide explains how they work, so you can give each person access to exactly what they need, and nothing more.

How permissions work

There are two ideas worth getting straight from the start.

Permissions follow your group tree. A permission you give someone on a group also applies to every group beneath it. Give it at the very top and it covers your whole site. Give it on a single group with nothing underneath, and it stays there. So you choose the level that matches the job: the whole site for someone helping you run everything, or one group for a volunteer who only looks after, say, the youth rota.

Each person’s view is tailored to what they can do. People only see the groups, tabs and areas they have permissions for. A volunteer who manages one rota won’t see your member data, web pages or settings, just the part they look after. That keeps the web office simple for them, and your church’s information safe. It also makes volunteers far more likely to actually use it: someone who logs in to a couple of tabs they understand just gets on with the job, where a screen full of everything can put a less confident helper off entirely.

Grant at the right level

Because permissions cascade down the group tree, anything you grant on the top group applies to your whole site, including everyone’s contact details and any sensitive information. Give each person permissions on the specific group they help with, not the top group, unless they genuinely need access to everything. You can change or remove permissions later, but it’s far better to start narrow.

Where permissions are set

Permissions live in a few areas of the web office, depending on what someone needs to do. The main ones are:

  • Site Manager: the main area. It covers editing web pages and content, managing member data, running church activities like rotas, mailing and attendance, and taking online payments.
  • Site Settings: administrator-level access, such as site settings, finance, reports and the design templates. It’s worth keeping this to as few people as possible.
  • Resources: managing your room and equipment bookings.

Good to know

  • You can only give away permissions you already have, so a group leader can pass on any of their own access to their team.
  • Tailored permissions make handover easy: when someone stops volunteering, you remove their access and give it to the next person.
  • If someone tells you they can’t find an area of the web office, it’s almost always because they haven’t been given permission on it yet.
