How to choose the columns in your query results

Fresh query results show just people’s names, which is rarely the whole story. The Columns button lets you add anything from their records, email addresses, ages, custom fields, so the results show exactly what you need, on screen and in anything you export.

Choosing your columns

  1. Run your query, then click the ‘Columns’ button at the top right of the results. The Select Columns box appears.
  2. Available fields are listed on the left, grouped into data sets you switch between with the drop-down list; the columns already in your results sit on the right.
  3. Click a field and choose ‘Add’ to include it (you can select several at once, or use ‘Add all’ for a whole set). To take one out, select it on the right and choose ‘Remove’.
  4. Put the columns in the order you want with the move up and move down buttons, then click ‘Update’ to refresh the results.

Good to know

  • Click any column heading to sort the results by it, and click again to reverse the order. Sorting a date column soonest-first is how a renewal list practically writes itself.
  • A saved query remembers its columns, so set them up once and every rerun comes back ready to use.
  • The columns you choose are what appear when you export or print the results, so this is also how you decide what goes in the spreadsheet or PDF.
