Before we get to setting up a payment group, you need to understand what the system is capable of, and hopefully, you will be excited by its possibilities for use within the life of the church.
Payment groups are a special group type in Hubb that lets you take payment when someone registers. What makes them really good is that you can collect lots of valuable data, and you can use them to accept bookings for events that are free, as well as for paid events, donations, or subscriptions.
So, what can you do with payment groups? You can collect data related to your bookings. These details can include personal information, contact details, user consent, and your custom field data. It also collects data, such as the ticket choices people make. These choices can include seminar options, lunch options, and anything, really, that you'd like to capture.
You can easily create a payment group for a large, complex conference or a smaller event with fewer options and less data collection. As I have mentioned already, you can do all of this for your free events as well. If no fee is due, the system displays a simple “complete registration” button and bypasses the payment options. You can always ask people if they would like to make a voluntary contribution. If they do, then the system will display the payment options for you. We also accommodate deposits and a final balance, with you setting your schedule, as well as recurring payments like monthly or annual.
A payment group can also be used for a donation page. Donations can be set to one-off/, monthly, or annual. We have built-in gift aid declarations, and many of our customers use us to take their tithes, offerings, and gifts, and, for UK customers, our HMRC integration to claim that gift aid back. You can claim gift aid in Hubb as often as you'd like to keep your cash flow better than ever.
Let's go over some of the power features of payment groups.
When using this for event bookings, you can limit each option by how many there are available.. This is helpful if you have a venue with a certain number of seats, or a ratio to keep for safeguarding in a children's group. You can collect custom data with our custom fields functionality. We offer many different custom field formats, and you can include as many as you'd like. When making a booking, you can set whether data fields appear for children or adults. So, if a person is a child, you can ask them for their parents’ mobile number or medical information. But if an adult is added to the booking, these questions will not be asked. This is useful for a conference or event where parents and their children are booked to attend.
I mentioned earlier that you can have donations collected monthly or annually, but that's actually true in any payment group. This means you can create a payment group for a monthly subscription, like the weekly group you run. It may be that your church runs a Bible school, and the pupils are required to pay a monthly fee.
As I briefly mentioned, you can add sub-choices and options for people. So, for example, when someone chooses an adult ticket, you can ask them which meal option they would like, hot or cold, for example. Each can have a cost or not, and that will adjust the total for that booking. You can also ask which seminar someone would like to attend without incurring any cost. It really is a very flexible system. Lastly, you can take a variable amount of money. If your church runs a free toddler group for the local community, you can offer free registration where you collect the parent or guardian's details, as well as the toddler's. You can then display an optional donation field to request a contribution toward the group's operating costs. If this is left blank, the free bookings need a click to confirm, but if they do want to donate, the payment details are taken.
